RentHuddle Privacy Policy

Version 1.1. Effective date: July 14, 2026

RentHuddle ("we," "us") is a community rent transparency service at renthuddle.com. This policy explains what we collect, how we use it, and the choices you have. We wrote it to be read, not skimmed past.

The short version

• You share your rent and fees; neighbors share theirs; everyone sees the real picture.
• Rent, fee, and lease-term data becomes part of your community's index with nothing that identifies you attached.
• If you upload a lease, we redact your personal details, keep only the redacted copy, and permanently delete the original within 7 days.
• We do not sell your personal information. If we ever show you offers from nearby properties or partners, the advertiser never receives your name, email, or anything that identifies you, and you can opt out of partner emails at any time.

What we collect

Account information. Your email address, and the community, building, and unit you tell us you live in. We use magic links, so we never store a password.

Rent and fee data. Base rent, fee line items, lease start date, and lease term, whether you type them in or we extract them from an uploaded lease.

Lease documents. If you use lease scan, the document you upload. See "Lease documents" below for exactly how these are handled.

Community chat posts. Messages you post in your community's chat.

Usage data. We use Google Analytics to understand how the site is used (pages visited, general location, device type). This is standard analytics data and is not tied to your rent submissions.

Listing data. We also collect publicly available rental listing data. This is not personal information and is always labeled "Listed," separately from resident-submitted data.

Lease documents

When you upload a lease:

1. We extract the lease terms (unit, rent, dates, fees) using an AI document-processing service. 2. We redact personal details from the document: names, phone numbers, email addresses, signatures, and any government ID numbers. 3. We keep only the redacted copy. The original, unredacted document is stored encrypted and is permanently deleted within 7 days of upload, without exception. The short window exists only so a human can double-check documents our system was not confident about.

Only the rent, fees, and lease terms become part of the community index. Never anything that identifies you.

How we use your information

• To operate the service: showing community rent data, generating your lease report, running community chat, and sending magic-link sign-in emails.
• To build community statistics: your rent and fee data, with all identifying information removed, is combined with your neighbors' data into community averages, medians, and comparisons. This de-identified data is a permanent part of the community index and remains even if you delete your account, because removing it would degrade the accuracy of the picture for your neighbors. It cannot be traced back to you.
• To administer incentives, such as verification rewards.
• To show you relevant offers. We may show advertising on the site, including offers from nearby properties and local businesses, selected based on your community. Advertisers never receive your name, email, or any identifying information; they choose a community, and we do the matching on our side.
• To send partner emails, if you have not opted out. We may occasionally email you offers from advertising partners, such as a special at a nearby property. These emails come from RentHuddle; your email address is never shared with the advertiser. Every such email includes an unsubscribe link.
• To communicate with you about your submission, your report, or the service.

What we share

We do not sell your personal information. We share data only with the service providers we need to run RentHuddle:

• Hosting (Railway): runs the website and database.
• AI document processing (Anthropic): extracts lease terms from uploaded documents. Documents are processed, not used to train models.
• Analytics (Google Analytics): site usage statistics.
• Email delivery: sends magic links and notifications.

We may disclose information if required by law. Aggregate community statistics that identify no individual may be displayed publicly or shared as part of the service; that is the point of RentHuddle.

Your choices

• Access or deletion. Email us at hello@renthuddle.com to request a copy of your personal data or to delete your account. Account deletion removes your email, your identity, and your chat posts. De-identified rent and fee data already in the community index remains, as described above.
• Partner emails. You can opt out of partner emails at any time, using the unsubscribe link in any such email or the setting in your account. Opting out never affects your account, your data, your community access, or any incentive you have earned. Service emails (magic links, your report, notices about your submission) are not affected by this choice.
• Analytics. You can block Google Analytics with standard browser tools; the site works fine without it.

Data security

Personal data is encrypted in transit and at rest. Original lease documents are encrypted and deleted on the schedule above, and we monitor that deletion process.

Children

RentHuddle is for adults who rent homes. It is not directed at children under 16, and we do not knowingly collect their information.

Changes

If we change this policy, we will update the date above and, for material changes, notify you by email or a site notice before they take effect.
